I interviewed Sara who graciously shared some billing tips to help your clinic.
How did you get into billing?
I am married to a chiropractic and managed a busy chiropractic office to learn everything about billing. I started my own billing practice to help other clinics with billing as well as helped my husband with his practice’s billing needs.
How do you know if your billing is on track?
Billing is one of the most important, and often overlooked, parts of running a successful clinic. Whether you handle billing in-house or partner with a third party, it’s easy for things to slip away without realizing it right away. Before you dive into an overhaul (or panic!), here are a few simple places to start:
- Run Your Insurance Aging Report
Your Insurance AR (Accounts Receivable) Report gives you a snapshot of what insurance companies still owe you. Look closely at anything over 30, 60, and 90 days. Are claims sitting in limbo? Are there patterns with specific payers? Do the amount stay the same between 60-90 and 90-120 days? This report is often the first sign that something needs a closer look.
- Audit Patient Statements
Unsent, incorrect, or confusing patient statements can slow cash flow and hurt trust. Make sure balances are accurate and statements are going out regularly. If you’re ledgers are inaccurate or you’re getting a lot of patient calls with questions, that’s a sign something might be off.
- Check Write-Off and Adjustment Reports
Every clinic needs to write off charges now and then - but large or inconsistent write-offs can signal a deeper issue. Compare your write-off patterns month to month. Are they justified? Are there codes being denied that shouldn’t be? Review Your Front-End Processes Many billing issues start before a claim is even submitted. Take a look at how new patients are added, how services are documented, and whether all the necessary information is being captured at check-in. Are procedure codes being entered correctly? Modifiers? Diagnosis? Are provider notes detailed and timely? Even small gaps in documentation or data entry can cause delays, denials, or missed charges later on.
